Vantnod

Vantnod Studio

Client work as one flow, from quote to invoice.

A freelancer, consultant, agency, or service business runs the same chain: a customer asks for a quote, the quote becomes a project, the project fills with tasks and hours, and the work gets invoiced. Vantnod Studio keeps that chain as one flow, without making you adopt an accounting package.

Customers, projects, tasks, time, and the reviewable invoice draft are live now. The Deals quote pipeline is in preview: you see the planned flow, but it does not perform production actions yet. Maventa e-invoices are delivered once operator activation is confirmed for your company.

Once work is logged, Studio assembles an editable invoice draft from tasks and hours. Aino prepares suggestions within fair use and shows its sources. A human approves before anything is sent, every time.

Customer registry

01 / 08

Customer data in one place, not in notes.

Studio's customer registry is the foundation of the flow: the same card feeds the quote, the project, and the invoice, so data is never copied between tools.

  1. [01]

    Customer card

Contact details, billing details, and e-invoice address on the same card.

  2. [02]

    Contacts

Multiple contacts per customer, with roles and responsibilities spelled out.

  3. [03]

    Customer flow

Quotes, projects, and invoices appear as one history per customer.

  4. [04]

    Billing settings

Payment terms, reference number, and delivery method are saved on the customer.

The customer registry is live now. It is the same registry Bookkeeping uses for invoicing if you enable both applications.

Quotes · preview

02 / 08

A quote is a decision pipeline, not an email attachment.

Deals is in preview: you see the planned quote flow and can explore it, but it does not perform production actions yet. We state openly what is coming.

  1. [01]

    Quote draft

Build the quote from project phases and pricing. (preview)

  2. [02]

    Customer acceptance

The acceptance is stored as a decision, not a lost email thread. (preview)

  3. [03]

    Linked project

The accepted quote becomes a project without retyping. (preview)

  4. [04]

    Published quote

The quote is shared with the customer as a readable link. (preview)

When Deals opens to production, your current customer and project work is already in the same flow.

Projects and time

03 / 08

A project is made of tasks, tasks of hours.

Logged time is Studio's fuel: it accrues to the task, the task to the project, and the project to the invoice. This is live now.

  1. [01]

    Project structure

Phases and tasks linked to the customer and the quote.

  2. [02]

    Task list

Owner, status, and deadline per task, visible to the team.

  3. [03]

    Time entries

Log hours on a task or a project, with a billable marker.

  4. [04]

    Progress

See what is done, what is in flight, and what waits for a decision.

  5. [05]

    Billability

Mark work as billable or included in the agreement before invoicing.

  6. [06]

    Roles and approvals

In a team, roles and approval flows direct who logs and who approves.

Projects, tasks, and time are in production use. Roles and approval flows are part of the Studio Tiimi tier.

Invoice draft

04 / 08

Logged work becomes a reviewable invoice.

This is Studio's strongest proof: the invoice is not made by copying hours from a spreadsheet but by gathering work that is already logged. You review and edit before sending.

  1. [01]

    Gathered lines

Tasks and hours into invoice lines with one selection, grouped the way you want.

  2. [02]

    Editable draft

Prices, line texts, and VAT treatment can be reviewed before anything is sent.

  3. [03]

    Payment link and reference

The sent invoice carries a payment link and a Finnish reference number.

  4. [04]

    Versions and credits

A sent invoice is an immutable version; credit notes are made from it separately.

Delivery and assistance

05 / 08

The e-invoice travels via Maventa, Aino prepares the work.

Two things must stay separate: delivery happens via Maventa once the operator is activated, and Aino's assistance sits under a fair-use quota per company. Neither replaces human approval.

  1. [01]

    Maventa e-invoice

Delivery via Maventa once operator activation is confirmed for your company.

  2. [02]

    Delivery status

The invoice status and audit trail live in the same view, not a separate portal.

  3. [03]

    Aino fair use

Aino suggests lines, summaries, and reminders with sources and uncertainty.

  4. [04]

    Human approval

A suggestion never moves forward without a human decision.

Vantnod's promise

07 / 08

Every decision remains inspectable.

Studio follows the same five-step chain as the rest of Vantnod: client work must not disappear inside automation, and every step stays visible.

  1. 01

    Source

The task, time entry, or customer acceptance this item came from.

  2. 02

    Aino

The suggestion is prepared with sources, reasoning, and uncertainty.

  3. 03

    Review

You edit the invoice draft or approve it as is. No invoice is sent without a human decision.

  4. 04

    Effect

The approved invoice is sent to the customer with a payment link and updates the project state.

  5. 05

    Audit

Who, when, on what basis, the full path stays inspectable later.

This is the difference from a regular time-tracking tool: the invoice is a decision with sources, not a copied spreadsheet.
